Beckett Ridge HOA Board Meeting
October 21, 2014 at Tri-County Baptist Church
Call to Order/Attendance
Dennis Bender called the meeting to order at 6:30 p.m.
Board Members present were Dennis Bender, Dave Burling, Russell Devane , Terri McGill-Wong, Sharon Palm, and Debbie Olszowka. Morris was absent with notice. Representatives from Towne Properties and Brickman were also in attendance.
The Minutes of the Board of Trustees September meeting were approved.
Homeowner Requests/Concerns – Chad & Madison Wentling were in attendance. They wanted to be available to answer any questions regarding their submitted Improvement Application.
Three applications were submitted. The Board conditionally approved the Wentling application. A final decision will be made after a site visit by the Board. The other two were denied because the applications did not include a plat map. Towne will notify all owners of the Board’s decision.
Bob Wilson gave the report. He reviewed the maintenance schedule and QSA report. Several proposals were submitted and approved by the Board including one to clean out the creek by Millcreek. The Board asked Brickman to break out the charges for removing and disposing of any man-made items such as shopping carts, tires, furniture, etc. This cost will be passed on to Millcreek since they are responsible for making sure the creek is kept clear of junk.
The Board reviewed and approved the current cash statement and delinquent status report.
The Board reviewed the logs from Towne Properties.
A. Catch Basin End of Woodcliff – Apex ran into an issue on Woodcliff. A catch basin in the cul-de-sac was paved over at some point. Water is pooling in the cul-de-sac. Apex repaved the street with the understanding that the asphalt will need to be cut if the Board chooses to install a functioning catch basin. The estimated cost to put in a catch basin is $20,000 and since Woodcliff is a private drive the cost would be paid by the Woodcliff residents via their annual road assessment. If there is not enough money in their reserve fund, a special assessment would be needed to cover the cost. The Board referred the matter to the Association’s attorney.
B. Community Website – Towne has moved most of the information from the old website to the new one. Towne is going through the information for any corrections and updates. The site should be fully functioning by November 1st.
A. Holiday Lighting – the Board reviewed two proposals for holiday lighting; one from Brickman and one from Christmas Decor. Brickman’s proposal was $4,100 and the one from Christmas Decor totaled $9,600. The Board felt that there have been too many non- working lights and creativity issues with Brickman’s previous displays to continue using them. Board voted to try Christmas Decor.
There being no further business to come before the Board, the meeting was adjourned at 8:00 p.m.
The next Board of Trustees Meeting will be held on Tuesday, November 18, 2014 at 6:30 p.m. at Tri-County Baptist Church.
